General Terms and Conditions of „Robokor STEAM Academy“ Ltd.

Effective date: May 4, 2026

These General Terms and Conditions govern the relationship between „Robokor STEAM Academy“ Ltd., hereinafter referred to as the „Organizer,“ and the parents/guardians of children enrolled in courses, workshops, academies, and other educational activities in robotics, programming, engineering, and related STEM fields.

II. Subject and Scope

  • These Terms and Conditions apply to all programs, courses, camps, clubs, demonstrations, and other services organized by the Organizer, unless otherwise expressly agreed for a specific program in an individual application, contract, offer, or program description.
  • Information about a specific course — age group, duration, schedule, location, curriculum, fee, and special conditions — is stated in the course announcement, curriculum, enrollment form, or other written communication from the Organizer.

III. Definitions

  • „Student“ is a child or pupil enrolled to take part in a specific educational program.
  • „Parent“ is the parent or legal guardian of a student who carries out the enrollment or gives consent for participation.
  • „Fee“ is the payment due for participation in the relevant program.
  • „Application“ is the enrollment form, signed on paper or electronically.
  • „Course Materials“ are all presentations, assignments, instructions, diagrams, models, code, photographs, and other materials provided in connection with the training.

IV. Enrollment and Formation of Contract

  • Enrollment is carried out by submitting an application, online registration, or another method expressly designated by the Organizer.
  • The contractual relationship arises once the Organizer confirms availability of a spot and receives the fee due, unless otherwise expressly agreed.
  • The Organizer has the right to decline an enrollment or not to open a group in case of an insufficient number of participants, lack of available spots, organizational obstacles, or safety considerations.

V. Fees and Payment

  • The course is offered under two payment options: a monthly package (313 BGN / 160 € per month, 626 BGN / 320 € total for the full 2-month course) or pay-per-session (45 BGN / 23.01 € per session).
  • A one-time materials fee of 30 BGN (15.34 €) is also due at enrollment, regardless of the payment option chosen.
  • Payment is accepted only by bank transfer to the Organizer’s account.
  • When paying by bank transfer, the parent should state the child’s full name and/or the course name as the payment reference.
  • Unless otherwise agreed, the fee is due within 3 business days of enrollment confirmation.
  • In case of late payment, the Organizer has the right to suspend access to sessions until the amounts due are settled in full.

VI. Conduct of Sessions

  • Sessions are held according to the previously announced schedule and at the announced location.
  • In extraordinary circumstances beyond the Organizer’s control, sessions may be relocated, rescheduled, or held online, with parents notified by email, phone, or another suitable means.
  • The parent is responsible for dropping off and picking up the student within the specified time window, unless otherwise agreed.
  • The student must follow safety rules, the instructor’s directions, and standards of respectful behavior toward other participants.

VII. Safety, Conduct, and Liability for Property

  • The Organizer provides instruction under an instructor’s supervision and introduces participants to the basic rules for working with educational electronics, tools, and materials.
  • The parent must inform the Organizer in advance of any health conditions, allergies, contraindications, or other material circumstances relevant to the child’s safe participation.
  • In case of persistent behavior that endangers safety or materially disrupts the normal conduct of sessions, the Organizer has the right to suspend the student’s participation.
  • In case of intentional damage to equipment or materials by the student, the Organizer may seek compensation from the parent under general legal procedure.

VIII. Absences, Missed Sessions, and Make-Up

  • Under the monthly package: the fee is not automatically reduced for absences. At the Organizer’s discretion, a make-up session in another group may be offered, if a spot is available (not guaranteed).
  • Under pay-per-session: the parent owes payment only for sessions the student actually attends.

IX. Cancellation, Termination, and Refunds

  • To cancel participation before the course starts, the parent must notify the Organizer in writing.
  • If cancellation is submitted no later than 10 calendar days before the first session, the Organizer will refund the fee paid, less any non-recoverable bank charges, if applicable.
  • If cancellation is submitted less than 10 calendar days before the first session, the Organizer may withhold a reasonable administrative fee, if one was announced in advance.
  • Once the course has started, no refund is due, unless the Organizer unilaterally terminates the program or the parties agree otherwise in writing.
  • If a group fails to form or the course is cancelled for a reason attributable to the Organizer, amounts paid will be refunded in full.

X. Photos, Video, and Personal Data

  • Photographing or filming a student for marketing, informational, or publication purposes is carried out only with the parent’s explicit, prior, and separate consent.
  • The Organizer processes personal data solely for the purposes of enrollment, conducting the training, communicating with the parent, accounting, and issuing certifying documents.
  • When processing personal data, the Organizer applies the principles of lawfulness, fairness, transparency, purpose limitation, and data minimization.
  • Upon request, the Organizer will provide additional information regarding the categories of data, retention periods, recipients of data, and the rights of data subjects.

XI. Intellectual Property

  • Course materials, worksheets, presentations, models, sample code, visual materials, and organizational documents are protected under applicable law.
  • They may be used only for personal and educational purposes by the relevant student and their parent, unless the Organizer has given explicit written permission otherwise.

XII. Communication and Notices

  • The Organizer and the parent exchange messages by email, phone, chat app, or another previously designated communication channel.
  • The contact details provided in the application are considered valid until the party notifies the other in writing of a change.

XIII. Final Provisions

  • Bulgarian law in force applies to any matters not covered herein.
  • Any disputes will first be resolved through negotiation and good-faith cooperation, and, failing agreement, by the competent Bulgarian court.
  • The invalidity of an individual clause does not render the entire document invalid.
